Inventory
Operational guide to inventory stock tracking, low-stock alerts, purchase orders with member-vote approval, and consolidated co-op purchasing.
Inventory Management & Co-op Purchasing
For purchasing cooperatives, retail stores, or hardware-focused teams, managing stock levels is essential. The Inventory module tracks stock and its value, manages purchase orders (POs), and lets members pool their order requests into consolidated purchases.
1. Stock Levels & Valuations
Monitor inventory status from the dashboard:
- Inventory Valuation: Each item records a SKU, category, unit cost, and quantity on hand. Total stock value is calculated as quantity × unit cost.
- Reorder Points: Set a reorder point per item. Items at or below it are counted in the Low Stock Alerts card so you know when to raise a purchase order.
- Usage Logs: Parts consumed on jobs are logged against the item, and materials used on completed work orders are deducted from stock.
2. Purchase Order (PO) Workflows
Procuring materials from vendors leaves an auditable trail:
- Draft PO: Choose a supplier and add item lines with quantities and costs.
- Approval Check: POs up to $1,000 are approved immediately. Larger POs open a Governance proposal and can only be approved once the member vote passes.
- Receive: Send the PO to your vendor as usual. When the goods arrive, mark the PO received: stock quantities increase and the ledger records Dr. Inventory, Cr. Accounts Payable.
3. Consolidated Co-op Purchases
Cooperatives derive power from scale. In Co-op Purchases, members combine their buying power:
- Member Order Requests: Members submit requests for the items and quantities they need.
- Combined Orders: An administrator consolidates open requests for one supplier into a single purchase order to negotiate volume pricing. The same $1,000 member-vote threshold applies.
